Renting a Photo Booth

Planning an event is a balancing act of timing, logistics, and creativity. If you’ve decided to include a photo booth at your event, then you’re adding a feature that will entertain your guests and create lasting memories! But how far in advance should you rent a photo booth? The answer depends on a few factors, such as the type of event, time of year, and the popularity of the photo booth company you’re considering. Here’s a guide to help you determine the right timeline.

1. Consider the Type of Event

The type of event you’re hosting plays a significant role in how early you should book a photo booth.

-Weddings: Weddings are often planned months—sometimes years—in advance. To secure your preferred photo booth provider, it’s best to book at least 6-12 months ahead of your wedding date. Many photo booth companies cater to weddings and tend to book up quickly, especially during peak wedding season (spring, summer and other significant dates).

– Corporate Events: For corporate events, aim to book 3-6 months in advance. If the event coincides with a holiday season (e.g., year-end parties), plan on securing your rental even earlier. We have a lot of companies that book us for next year right after we wrap up the current years event.

– Birthday Parties, Anniversaries, and Smaller Gatherings: For smaller, less formal events, booking 1-3 months ahead should suffice. However, flexibility might be required if your event falls during a busy season.

2. Account for the Time of Year

The time of year significantly impacts the availability of photo booths. Peak seasons for events, such as spring (wedding season), summer, and the holiday months of November and December, often see higher demand for photo booths. If your event falls during one of these times, it’s wise to rent your photo booth sooner rather than later—think 6+ months in advance.

In contrast, off-peak times, such as late winter or early fall, may offer more flexibility, allowing you to book closer to your event date.

3. Factor in Customization and Special Requests

If you want custom backdrops, branded overlay design, or specific props that match your event’s theme, you’ll need to allow extra time for us to accommodate these requests. Customization can add a few weeks to the planning process, so factor that into your timeline.

4. Need to Rent a Photo Booth Last Minute? No Worries

Life happens, and sometimes events are planned on short notice. If you find yourself needing a photo booth at the eleventh hour, don’t panic. We may have last-minute availability, especially during off-peak seasons. However, your options may be limited, and you might have to compromise on certain features. A don’t worry about paying any rush fees because we believe everyone deserves the best photo booth!

Final Thoughts

As a rule of thumb, the sooner you can rent your photo booth, the better. A lead time of 6-12 months is ideal for large events like weddings and corporate gatherings, while 1-3 months may be sufficient for smaller celebrations. Early booking not only ensures availability but also gives you time to explore customization options and secure the best deal.

By planning ahead, you’ll have one less thing to worry about and can focus on enjoying your event and making memories—both in front of and outside the camera lens!
